The everyday situation.

A team member leaves and a replacement inherits documents, presentations, recordings and folders of images. The material exists, but discovering why a choice was made takes repeated conversations.

Start with the question.

Where did the previous team document why this decision was made?

Who reviews: Operations, onboarding and institutional-history teams.

Sample material: Project briefs, approved reports, photographs, recorded handovers and training.

A possible VAIMS-assisted workflow.

  1. Define a permitted project collection and a recurring handover question. Keep personnel and other restricted records outside the sample.
  1. Search the brief, notes and working transcript for candidate explanations. Inspect image or video references that add relevant context.
  1. Open the originals and compare their dates. A past decision may explain history without authorizing the same choice today.
  1. Let the current owner turn useful findings into reviewed onboarding notes or a reference list. Preserve disagreements rather than forcing a single polished explanation.

What would make the evaluation useful?

Time to the right reference, review effort and questions still requiring an experienced colleague. Compare the complete task with the existing approach, including verification and correction—not only the first search response. Include a question for which the sample has no answer.

Measure whether the newcomer can reach verified references with less total assistance. Do not count generated text volume as improved onboarding.
