This is a scenario for discussion, not a customer deployment or a measured outcome.
The everyday situation.
A consultant or association team is writing a recap after a workshop. The slides, notes and recording are available, but the team needs to distinguish a suggestion from an actual commitment.
Start with the question.
What was agreed, and where is the supporting document or recording?
Who reviews: Consultants, associations and training coordinators.
Sample material: Approved meeting packs, proposals, workshop recordings and training material.
A possible VAIMS-assisted workflow.
- Use an authorized, non-sensitive sample from one engagement. Agree what counts as a confirmed commitment and who may approve it.
- Search notes and transcripts for the topic. A likely passage is a candidate for review, not an automatic action item.
- Replay the discussion and compare it with the approved document. Check who spoke, what was conditional and what was never agreed.
- Have the responsible person approve the recap and carry forward the source references. Keep confidential client data out of public demonstrations.
What remains a human decision.
The engagement owner approves interpretation. No automated legal, financial or client decision.
What would make the evaluation useful?
Time to confirmed references and the effort needed to correct a draft recap. Compare the complete task with the existing approach, including verification and correction—not only the first search response. Include a question for which the sample has no answer.
A useful result reduces the work needed to produce an accurate recap. If reviewing the AI draft costs more than preparing the recap directly, redesign or stop that workflow.
